Privacy Policy

Last Updated: October 27, 2025

Look, we get it - nobody really enjoys reading through legal stuff. But here at Jade Venom Bastion, we're straight shooters. Your privacy matters to us, and we're gonna be transparent about what info we collect, why we need it, and how we use it. We're not some corporate gym chain - we're a tight-knit combat sports community, and we treat your data with the same respect we'd want for our own.

When you walk through our doors or hit us up online, we collect some basic stuff to make sure we can serve you properly:

Personal Details:
  • Name, email, phone number - the usual contact stuff
  • Address and emergency contact info (gotta keep you safe)
  • Date of birth (insurance requirements, nothing sketchy)
Training & Health Info:
  • Medical history and injury records - we're not doctors, but we need to know if you've got old injuries or conditions that might affect training
  • Fitness assessments and progress tracking
  • Class attendance and membership details
  • Training goals and any competition history if you're planning to compete
Payment Info:
  • Credit card or payment details for memberships and sessions
  • Billing history (we use secure third-party processors - we don't store your full card numbers)
Technical Stuff:
  • IP address, browser type when you visit our website
  • Cookies to remember your preferences

We're not gonna sell your data or spam you with junk. Here's what we actually do with your info:

  • Running the gym: Managing your membership, scheduling classes, processing payments - the day-to-day operational stuff
  • Keeping you safe: Using your health info to tailor training programs and prevent injuries. If something happens, we've got your emergency contacts ready
  • Staying in touch: Sending class updates, schedule changes, special events, or new programs. You can opt out anytime - no hard feelings
  • Improving our services: Analyzing attendance patterns and feedback to make better training programs
  • Legal stuff: Meeting insurance requirements, handling liability waivers, and complying with Canadian laws
  • Marketing (with your permission): Sometimes we might use photos or videos from training sessions for social media or promotional materials - but we'll always ask first

We're pretty protective of your data. We won't sell or rent your personal info to third parties. Period.

However, there are a few situations where we might need to share info:

  • Service providers: Payment processors, email marketing platforms, scheduling software - they need access to do their jobs, but they're bound by strict confidentiality agreements
  • Legal requirements: If we're legally obligated to disclose info (court orders, government requests, etc.)
  • Emergency situations: If there's an injury or medical emergency, we'll share relevant info with first responders or medical personnel
  • Insurance purposes: Our liability insurance provider might need access to certain records
  • Competition organizations: If you're competing, we might need to share your info with sanctioning bodies or event organizers

Note: If we ever sell the gym or merge with another facility, your data would be transferred to the new owner, but you'd be notified in advance.

We take security seriously - not quite as seriously as our submission defense, but pretty close.

Our Security Measures:
  • Encrypted connections (SSL/TLS) for all online transactions and data transfers
  • Secure password-protected systems for staff access
  • Regular backups of member data
  • Physical security measures at our facility - locked filing cabinets for paper records, restricted access to admin areas
  • Staff training on data protection and privacy practices
  • Regular security audits and updates to our systems

That said, no system is 100% bulletproof. While we do everything we can to protect your data, we can't guarantee absolute security. If we ever experience a data breach, we'll notify you ASAP and take immediate steps to fix the problem.

Your data is yours. Under Canadian privacy laws (PIPEDA), you've got some solid rights:

  • Access: You can request a copy of all the personal info we have on you. Just shoot us an email and we'll get it to you within 30 days
  • Correction: If something's wrong or outdated, let us know and we'll fix it
  • Deletion: Want us to delete your data? We can do that, though we might need to keep some records for legal or accounting purposes
  • Opt-out: Don't wanna receive marketing emails? Click unsubscribe or tell us directly - no questions asked
  • Withdraw consent: Change your mind about how we use your data? You can withdraw consent at any time (though this might affect our ability to provide certain services)
  • File a complaint: If you think we've mishandled your data, you can file a complaint with the Office of the Privacy Commissioner of Canada

To exercise any of these rights, just contact us at info@jadevenombastion.info or call (604) 555-7389.

We don't keep your data forever. Here's our approach:

  • Active members: We keep your data as long as you're training with us
  • Former members: After you leave, we'll retain basic records for about 7 years (mostly for accounting and legal purposes - tax records, liability waivers, etc.)
  • Medical records: Kept for 7 years from your last visit, as required by law
  • Financial records: 7 years for tax and audit purposes
  • Marketing lists: Until you unsubscribe or we haven't heard from you in 3 years

After these periods, we securely delete or anonymize your data. If you want us to delete it sooner, just ask - we'll do it unless we're legally required to keep it.

Our website uses cookies - not the edible kind, unfortunately. These are small files that help us remember your preferences and analyze how people use our site.

What We Use:
  • Essential cookies: Needed for the site to function properly (like remembering you're logged in)
  • Analytics cookies: Help us understand which pages are popular, where visitors are coming from, etc. We use tools like Google Analytics
  • Preference cookies: Remember your settings and choices

You can disable cookies in your browser settings, but some features of our site might not work properly. Most browsers let you choose what types of cookies to accept.

We offer youth martial arts programs, and we take extra care with kids' information.

  • For anyone under 16, we require parental or guardian consent before collecting any personal information
  • Parents can review, update, or request deletion of their child's information at any time
  • We don't market directly to minors without parental consent
  • Youth program photos or videos are only used with explicit parental permission
  • We're extra cautious about sharing any info related to minors

If you're a parent or guardian and have concerns about your child's data, reach out to us immediately. We're here to help.

Training sessions, competitions, seminars - we love capturing these moments and sharing them with our community. But we always respect your privacy.

Here's How It Works:
  • We'll ask for your consent before using any photos or videos featuring you in marketing materials, social media, or our website
  • If you're in a group shot and don't want to be featured, let us know - we'll blur you out or use a different image
  • You can withdraw consent at any time, and we'll remove the content (though we can't control stuff that's already been shared by others)
  • For competitions and events, attendees generally understand they might be photographed - we'll post signs if photography is happening
  • Security cameras run in our facility for safety purposes - footage is kept for 30 days then deleted unless needed for an incident investigation

Laws change, technology evolves, and sometimes we need to update how we handle data. If we make significant changes to this privacy policy, we'll let you know by:

  • Posting the updated policy on our website with a new "Last Updated" date
  • Sending an email to active members explaining the changes
  • Posting a notice at the gym for a reasonable period

We encourage you to review this policy periodically. Continuing to use our services after changes means you accept the updated policy.

Got questions, concerns, or requests about your privacy? We're here to help. Seriously - don't hesitate to reach out.

The Bottom Line

We're a martial arts gym, not a data mining operation. We collect what we need to run a safe, effective training facility and nothing more. Your trust means everything to us, and we won't abuse it. If you ever feel we're not living up to these commitments, call us out on it. We'll make it right.
